Lead management

Lucy’s lead management feature provides a centralized platform to receive and manage leads, allocate them to designated salespeople, monitor their progress, and convert them to clients without the need for data recapturing. This feature also sends client confirmation emails and alerts sales staff via telegram, which helps speed up feedback and improve the sales process.

Client Contracts

Lucy’s client contract management system allows clients to sign and send contracts electronically, streamlining the process and reducing the need for data recapturing. This feature is integrated with PATRIOT and stores client contacts for easy access. Additionally, keyholders are pulled through to Lucy for client welcome letters and handover forms are sent to the salesperson on the link-up date.

Commission

Lucy’s commission feature is designed to simplify commission management and avoid duplicate commission payments. It calculates commission for both hardware sales and alarm contracts based on the percentage of profit or multiple per sales agent that you specify. The system also prohibits duplicate commission payments, only pays commissions after the client pays you, and deals with clawback commissions.

Job cards

With Lucy’s job card feature, technical job cards are created from the client record, and technicians receive them via the phone app. They can close the job card on their phone, and the Pastel files for creating the job invoice are created on the closure of the job card. The feature also provides Google calendar integration for job booking and canned emails that are automatically sent to clients at various stages of the workflow.

Billing system

Lucy’s billing system offers flexible billing options, including monthly and annual billing. The system creates Pastel batch files for debit order and EFT clients and annual clients. It also generates Netcash batch files and adjusts prices on the database. The system automatically commences billing at the appropriate stage, takes care of free months of services, and provides different letters for different classes of billing.

Radio licence fees

Lucy’s radio licence fee feature sends email notices to clients and creates Netcash batch files for clients who pay annual fees by debit order. It also creates Pastel batch files for all fees and provides different letters for different classes of billing, including EFT, annual, and debit orders.

Pastel accounting

Lucy’s Pastel accounting feature provides direct import of accepted quotes to Pastel, avoiding errors and duplicate price capturing. This feature is a big time-saver, eliminating the need to maintain price lists on Pastel and a separate quoting system.

Service termination

Lucy’s service termination feature provides a cross-correlation with the contract period to prevent in-contract terminations. The system requires supervisor input to cancel within the contract period and sends reminders to remove the radio. Debit orders and invoicing are suspended in accordance with the notice term, and canned emails are sent to clients confirming cancellation status.

Increases

Lucy’s increases feature allows for monthly increases on the anniversary of the client contract. Bespoke letters are sent to clients advising of the increase, and prices are adjusted on the database. Pensioner rates are not affected by increases.

Telegram

Lucy’s Telegram feature provides messaging and alert redirection from PATRIOT monitoring software. This feature also allows for bulk Telegram messages to suburbs for emergency notices.

OB System

Lucy’s OB System feature provides Telegram messaging to relevant managers and emails to relevant departments. It also provides a guard site electronic OB book and a control room web entry page.

Phone call recording

Lucy’s phone call recording feature depends on the telecom service provider. It records telephone calls for quality control purposes and ensures the accuracy of client communication records.

Dispatch

Lucy’s dispatch feature allows for the response officer to be dispatched via the app, with data from PATRIOT. This feature also enables scene photos
